Checklist - Final editing
This checklist is based on the structure of the thesis template (Word). Below you will find a number of points that require special attention, especially if you have copied and pasted a lot of text from other documents.
Thesis template
- Begin by opening the file and select to display two pages. You can then easily check that the upper edge of all pages, as well as the footers, is aligned. If the upper edge of a page would “dip” you have probably inserted a line-feed at the top of the page. Similarly, if the footers on the right- and left-hand pages are not aligned, you may have accidentally inserted a line-feed. If you are unable to align the footers, ask the printers to help you.
- Does the table of contents look ok? Refer to the first page of the document Example_B-template.pdf”. If the table of content does not look OK, e.g.if the right-hand margin is jagged, you may have accidentally overwritten the functionality in the template. Then try to format every heading one by one by selecting them in the table of content and selecting the correct style sheet ("TOC 1" through "TOC 5"). If your headings are very long, you might need to enter a soft line break (Shift + Enter) to prevent the text from merging with the page numbers.
- Does Abstract fit into one page. This page will also be placed at the back of the title sheet.
- Is the line spacing the same throughout the document? If not, make sure you have the right style (ORU Body text)
- Does any of the hyphenation look odd? If so, manual hyphenation might be required as a final adjustment. However, this should be applied with caution since manually hyphenated words remain hyphenated even when the text shifts in position.
- Does the character spacing seem overly wide in any parts of the document?
Adjust by condensing/expanding under Home-Font-Advanced-Character Spacing (Start-Tecken-Avancerat-Avstånd mellan tecken). Does the spacing seem overly wide throughout the document? Make sure you have not accidentally deactivated automatic hyphenation (Page Layout-Hyphenation [Sidlayout-Avstavning]). - Do the headings look OK? They should be left-aligned (justified alignment should not be activated) and may not be hyphenated. Are the heading levels easy to identify? Have you accidentally entered line breaks before or after any headings? If so, remove these.
- Do the tables look OK? If not, is the text visible in all the cells.
- Does every new chapter/section start on a new page? If you are writing a monograph, a new chapter may well start on a right-hand (odd) page. Insert empty pages using the page break command:Insert-Break-Page Break (Infoga-Brytning-Sidbrytning). Do not create page breaks by pressing the Enter key repeatedly as this will cause your text to move around.
- Do pictures/figures look OK? Pictures should be placed so that they fit within the margins of the page, i.e. they should not be wider than the text on the page. The picture resolution of your images should be at least 300 dpi. Colour images should preferably be in CMYK mode. Black and white images must be in greyscale, not in the RGB setting. For images that are to be printed in black and white, please submit, if possible, black and white originals for optimal result.
- Do the images look blurry in the template but not in the original? (Please note that it is the quality of the images in the PDF file that you should pay extra attention to.) If so you can ask the printers to re-mount the image (leave the image you have inserted into the template as it is). Attach the original file and let them know onto which page the picture in question should be inserted.
Other things to think about
Text of introduction
Have you written a brief text of introduction for the cover? It should include a brief introduction of yourself (education and professional background) and of your thesis. There is room for maximum 2,500 characters, including spaces and there is no lower character limit. You should submit the text of introduction as a Word file.
Photograph
Have you had your picture taken for the cover? If not, see Photograph.
Title sheet
Have you completed the template for the loose title sheet? Download the template to your computer from the same page where other thesis templates can be downloaded. Double-click and save it as "title sheet_firstname_surname" Fill in all the details and save. If you need help adjusting the text on the title sheet (e.g. if it does not fit onto one page), the printers are able to help, provided you send it as a Word file. Remember to check that the information on the loose title sheet corresponds to the information provided in the decision on the public defence of your doctoral thesis.
Authorisation
Have you, if you are writing a compilation thesis, obtained authorisation from the publishers to use their file(s)? The best thing is if you can get the publisher's print files in PDF format. On the page where you give details of the articles/papers/studies that make up the thesis you should also include a note that they are being published with the authorisation of the publishing firm(s) in question.
Order information
Have you completed and submitted the Order Information form or in any other way informed the print editor of the details required?
